Customer Service and Administration Specialist | Retail | Permanent | Onsite

Your new company :

Are you an experienced customer service and administration specialist looking for an exciting new role? Here at Hays we are looking to speak with an experienced administrator about a truly exciting role working with a global brand based in Dublin who are looking for a customer service administrator to join their team on a permanent basis.

Your new role :

Administrative specialists must take on various roles within the company to help ensure effective day-to-day operations within the company as well as being involved in marketing, new product development and operations. It is a vital role in many aspects and requires team members to be very organised, good communicators and to use initiative when required.

What you'll need to succeed :

  • Active participation in office management, including performing general clerical tasks such as email, admin, customer service (emails, phone calls, social media DM’s/comments and website chat messages), DHL queries regarding deliveries, general office organisation and online order preparation. Also, important is the management of the printing room/stockroom (i.e. Cards, printer ink, labels etc.)
  • Acquire and maintain the skills and knowledge necessary to efficiently process orders through the DHL and FedEx online system, process all paperwork, troubleshoot and resolve issues, process claims, DHL customs sheets/invoices, interact with DHL on their system and continually review ways to improve the distribution process. Acquire the skills to manage and manoeuvre our Warehouse Management System that automates our picking and packing process in the warehouse.
  • Research and evaluate processes for productivity and time efficiency. Determine any administration issues and resolve them for smooth office operations as well as suggesting new effective processes for any issues encountered.
  • Communicating with and dealing with clients and suppliers, responding to phone calls relating to customer queries, assisting customers making purchases, sales calls and emails.
  • Corporate clients and sales projects will also be assigned, so training will be required in how to successfully process and carry out a full corporate order.
  • Assisting the Marketing team with social media activity such as DM’s, comment responses, research, content calendar planning, Social media ads, social media results reporting, content ideas and creative content.
  • Administrative specialists may also be required to create reports, organise events, prepare meeting schedules and assist managers and the CEO.
  • Manage office equipment and warehouse supplies as well as inventory, and ordering new equipment and supplies as needed
  • Work collaboratively with other departments to help solve clerical issues (specifically warehouse operations, marketing and the CEO). New product development and product research will also play a role in the collaborative work with others in the team.
  • Offer assistance to the accounting department to organise invoices, payments, and receipts
  • Prepare and maintain company documents and reports.
  • Coordinate administration activities involved in the employee recruitment, performance evaluation etc.
